Clerical Officer

Clerical Officer - (Grade IV)

Unijobs on behalf of our public sector client have a requirement for a Clerical Officer to join their team. The duration of the post is approximately 70 weeks with possible extensions thereafter.

Working 35 hours per week the successful candidate will be employed as an agency employee and will be paid an hourly rate of €19.30 based on an annualised salary of €35,256 and will accrue 28 days' annual leave per year. The role is based fully onsite in Dublin 8.

Key Duties and Responsibilities:

Administrative Support for Clinical Services

  • Provide Consultant and multi-disciplinary team secretarial support for a service within SJH
  • Manage referrals including post, email, HealthLink and EPR referrals, ensuring accurate patient registration and targeted timeframes
  • Process consultant triage outcomes and referral source responses within targeted time frame
  • Coordinate and follow-up regarding waiting list validation and maintenance
  • Coordinate and schedule new and return patient appointments, ensuring all essential information is readily available
  • Maintain efficient organisation, scheduling and running of weekly outpatient and virtual/tele clinics
  • Manage Health Records and Directorate documentation securely and confidentially: This includes filing, tracking and supporting healthcare record audit (with training)
  • Save/scan documentation to patient records as required, including result reports, consent forms, letters etc.

Correspondence and Communication

  • Communicate and liaise effectively with the administrative and clinical team, hospital staff and patients as required
  • T-Pro Digital Dictation system transcription typing and letter finalisation and maintaining turn-around-time targets as per directorate KPIs
  • Managing telephone queries and patient correspondence, handling and directing clinical queries appropriately
  • Request and obtain results/information from other centres as required

Data Management

  • Manage documentation efficiently and accurately within the different hospitals systems e.g. EPR, patient correspondence.
  • Assist with collation and collection of service information and relevant administrative data as required
  • Input administrative data into relevant service systems as required
  • Adhere to confidentiality guidelines at all times

General

  • Work as part of the administration team adhering to service and hospital policies
  • Participation in service quality improvement projects as appropriate to the grade
  • Other duties and cross cover duties appropriate to the grade that may be assigned as required
  • Participate and cooperate with legislative and regulatory requirements in relation to Health and Safety as outlined in the Safety, Health and Welfare Act 2005 and the Hospital Safety Statement.

Qualifications and/or Experience:

  • Have obtained at least Grade D (or a pass) in five subjects including Mathematics and English or Irish (or four subjects if Irish is included) from the approved list of subjects in the Department of Education Leaving Certificate Examination

And

  • Have obtained at least Grade C (or honours) in higher level (or honours) papers in three subjects in that examination (or two subjects if Irish or Mathematics or both Irish and Mathematics are included);

Or

  • Have obtained a comparable standard in any equivalent examination

Or

  • Hold a third level qualification of at least degree standard (QQI level 7)

Or

  • Have a minimum of 1 year's satisfactory clerical experience (ideally within a patient or customer service related area) which encompasses demonstrable equivalent skills in an environment relevant to the role.

And

  • Possess sufficient administrative capacity to discharge the functions of the grade.

Desirable:

  • Previous clerical experience in a Hospital / Healthcare environment which may include General Hospital Administration / Medical Secretary and/or Medical Audio typing role
  • Have completed or leading to completion in a course of study related to healthcare or business administration
